Many schools type the same family details twice: once from the website enquiry, once into the school system. Connecting the two saves that work and stops details getting lost.

How linking your website to Mograsys or a similar school system cuts double entry and keeps admissions enquiries in one place.

The double entry problem

A parent fills in the enquiry form on your website. It arrives as an email. Someone in admissions then copies the name, grade and phone number into the school system by hand.

It works, but it is slow, and every copy is a chance for a typo, a missed email or an enquiry nobody follows up. In a busy admissions season those small gaps add up.

What a connection does

When the website talks to your school system, the enquiry goes straight in.

That means:

  • No retyping of names, grades and contact details

  • One record per family, from first enquiry to enrolment

  • Faster replies because the right person sees it straight away

  • Clearer numbers on how many enquiries the website brings in

Your admissions team spends its time talking to families instead of copying data.

Which systems can connect

We connect school websites to Mograsys, and to other school systems such as PowerSchool, iSAMS, ManageBac, Veracross and OpenApply.

Each system works a little differently. Some accept enquiries directly, others through an admissions tool or a regular export.

The first step is to find out what your system allows.

Your system provider can tell you.

More than enquiry forms

Once the website and the school system share data, other jobs get easier too.

Start with the one that takes your team the most time.

Common ones:

  • Admissions forms through Prospect AI or a similar tool

  • Job applications sent to Schrole or your HR inbox

  • Instagram posts shown on the site without copying them by hand

  • Website visits measured in Google Analytics next to enquiries

Each one removes a small manual task that someone does every week.

How we set it up

We start by matching your forms field by field to your school system, so a grade on the website means the same grade in the system.

Then we connect them, send test enquiries and check each one lands in the right place before anything goes live.

We have done this with Mograsys for Rushmore American School, Carmi International School and Cambridge Academy.

Where to start

Pick the form that brings in the most work, usually the admissions enquiry, and connect that one first. Once it runs well, add the next.

The goal is simple:

Type it once, use it everywhere.
